The same lawns every week and the one-time jobs in between — the visits come due, get done and get billed, and the books follow.

Two kinds of work, both in one place. The bread and butter is the regular customer: put each one on a plan — this service, at this yard, this often, at this price a visit — weekly or every two weeks, monthly, every three months, twice a year or once. The visits come due on their own, the late ones are marked, and VISIT DONE records the visit and moves the plan on from the day it was due, so one late Tuesday does not push the whole route back for the rest of the season. A rained-out visit is skipped and billed nothing. When it is time to bill, every visit done and not yet billed comes up customer by customer, and each customer gets one invoice with a line for every visit, at the price the visit was done at. The other kind is the one-time job — the re-sod, the new beds, the xeriscape, the fall clean-up. Build the estimate line by line off your own rate card, section by section (lawns, trees, bushes, ground cover, xeriscape), measuring an area length times width with a depth for bark or rock; it adds the materials, the hours at your labor rate and your markup. Print the estimate, the work order and the contract; once it is accepted it becomes a job, invoiced into the books, with payments received against it and extra work billed on its own. Statements go to everyone who still owes, printed or emailed. Materials are bought on a purchase order, received, issued to the job and counted on the shelf. Underneath it all are real double-entry books, with who owes what, where the money goes and a proforma tax report, a time clock for the crew, and your own public website written from those books. Customers, yards, suppliers and materials live in one record file, with notes, mailing labels, scheduling and email beside them.
